Important Notice Regarding the Privacy and Information Practices of Hermann Sons Life.

Introduction

Hermann Sons Life is a fraternal benefit life insurance society chartered by the State of Texas and organized under Section 501(c)(8) of the Internal Revenue Code. We have protected the privacy of our members, policyholders, applicants, claimants, and beneficiaries since 1890. The Gramm-Leach-Bliley Act and applicable state privacy laws require that we notify you annually about how we collect, use, safeguard, and share your personal information. This notice describes those practices and your rights. Unless you receive a separate notice from your agent or producer, this notice is given on their behalf as well. Throughout this notice, “we,” “us,” and “our” refer to Hermann Sons Life.

Definitions

Affiliates – Companies related to us by common ownership or control, whether financial or nonfinancial.

Nonaffiliates – Companies not related to us by common ownership or control, such as reinsurers, service providers, and consumer reporting agencies described in this notice.

Information We Collect

To underwrite and administer your coverage, we collect the following categories of personal information, which may vary by product or service:

• Application Information – Name, address, date of birth, Social Security number, employment, salary, and beneficiary designations.
• Transaction Information – Coverage, premium payment history, claims history, and account balances.
• Credit Information – Credit history and reports from consumer reporting agencies.
• Health Information – Health history, prescription history, medical records, and claims statuses collected for life, annuity, or health-related products.
• Lifestyle Information – Occupation, mode of living, and avocations relevant to underwriting.
• Third-Party Information – Information from medical professionals, employers, other insurers, and other authorized sources.
• Financial Information – If applicable, risk tolerance, investment objectives, assets, and transaction history related to products offered through us or our producers.

How We Use and Share Your Information

We use and share your information only as permitted or required by law, including to:

• Underwrite, process, and administer your coverage and account servicing;
• Respond to court orders, subpoenas, or regulatory inquiries, and report to consumer reporting agencies;
• Prevent, detect, and investigate fraud, and protect the security of our records;
• Support internal risk control, auditing, and dispute resolution, and provide information to our regulators, attorneys, and auditors;
• Disclose to persons with a legal, beneficial, representative, or fiduciary interest related to you;
• Market our products and services;
• Facilitate a proposed or actual sale, merger, or transfer of our business; and
• Comply with law, or with your consent or direction.

Sharing With Our Affiliates

We may share information about you (including transaction and application information) with our affiliates as permitted by law.

Sharing With Our Fraternal Lodges and Branches

Hermann Sons Life is organized around local lodges, and membership is conferred by a local lodge with Home Office approval. We may share limited information (such as your name, address, contact information, and lodge function photographs) with our affiliated fraternal lodges.  Use of this information is strictly limited to fraternal purposes, such as lodge meetings, picnics, fundraisers, volunteer activities, and member publications. Lodges may not use it for commercial or marketing purposes.

Sharing With Nonaffiliated Third Parties

We do not sell your personal information. We may disclose it to nonaffiliated third parties only as permitted or required by law, including:

• Reinsurers and service providers (such as data processors, actuaries, and mailing services) performing functions on our behalf, subject to confidentiality obligations;
• Medical professionals and institutions, for underwriting or claims purposes;
• Marketing firms performing functions on our behalf, subject to confidentiality obligations;
• Agents, producers, and independent brokers authorized to sell our products;
• Consumer reporting agencies and regulators, as permitted or required by law; and
• Parties involved in legal process or a proposed or actual business sale, merger, or transfer.

We will not disclose your contract or account numbers to nonaffiliated businesses except as necessary to complete transactions or as you have authorized. We will notify you before disclosing your information in a manner not described in this notice.

Information Security

We safeguard your personal information through physical, electronic, and procedural measures, including:

• Restricting employee access to those with a legitimate business need;
• Secured facilities, firewalls, encryption, and access controls; and
• Employee training, confidentiality agreements, and regular reviews of our technology and protocols.

We require our service providers to maintain appropriate safeguards and use your information only for the purposes provided.

Accessing and Correcting Your Information

You may request access to, or a copy of, the personal information we maintain about you, including who has received disclosures of your information within the preceding two years. You may also request correction, amendment, or deletion of information you believe is inaccurate or irrelevant; procedures will be provided upon request.

Former Members

We extend these privacy protections to former members and do not share their information except as described in this notice or as permitted by law.

Changes to This Notice

We will notify you of any material change to this notice before implementing it. This notice replaces all previous versions.
